Sales Operations Specialist

Permanent employee, Full-time · Germany (Remote)

Your job

We’re looking for a Sales Operations Specialist who is eager to build solid operational foundations for our sales team, assisting with proposals, tenders, forecasting, and customer requirements. This role is perfect for someone early in their career who enjoys problem-solving, organization, and cross-team collaboration.

Responsibilities

As Sales Operations Specialist, we expect you take over these responsibilities:

Back-office sales support

  • Provide end-to-end back-office support to the sales team, ensuring smooth progression of deals through the pipeline.

  • Coordinate with Customer Success and Pre-Sales Engineering to identify and scope upsell opportunities.

  • Develop complete scoping documents and generate change requests that can then be accurately priced.

  • Ensure data in the CRM and other sales tools is always up-to-date and complete

  • Support other departments (i.e. finance) with sales-related data provisioning, sales-enablement projects and overall sales process improvements.

  • Collaborate with other departments to ensure relevant documentation is always up to date and in accordance with latest corporate guidelines.

Tender management

Ensure the successful management of the full commercial proposal and tender process, delivering competitive, compliant, and strategically aligned submissions:

  • Support the preparation of tender responses by collecting requirements, verifying compliance, and developing documentation.

  • Interpret each tender’s intent and scoring mechanism to maximize evaluation outcomes.

  • Maintain an organized, repeatable process for managing tender timelines, deliverables, and cross-functional inputs.

Proposal development
  • Create basic and budgetary proposals for customers, ensuring clarity, accuracy, and alignment with sales strategy.

  • Support the sales team with structured pricing support and proposal documents as needed.

Requirements
  • A few years of experience in Sales Operations, Revenue Operations, Sales Support, Customer Success, Business Operations, or a similar analytical/operational role.

  • Very strong command of English (native language or CEFR C1 level) is a must. Any other language is a bonus.

  • Hands-on experience using a CRM system (e.g., Salesforce, HubSpot, Pipedrive), including managing data, building basic reports, and supporting users.

  • Experience in creating basic proposals, quotes, documentation, and commercial materials.

  • Experience supporting sales teams with back-office tasks, deal administration, or pre-sales support.

  • Comfortable working cross-functionally with teams such as Sales, Customer Success, Marketing, Product, and Technical/Engineering teams.

  • Basic understanding of sales processes, pipelines, and how opportunities move through the funnel.

  • Exposure to tender/RFP processes, including collecting requirements, preparing responses, and ensuring compliance (a plus, not required).

  • Ability to evaluate customer requirements and work with technical teams on scoping or feasibility discussions.

  • Strong analytical skills and a good understanding of data analytics and numbers.

  • Proficiency with Excel/Google Sheets.

  • Strong communication, organizational, and documentation skills with an eye for detail.

  • Curious, proactive, and comfortable operating in a fast-paced or growing environment.

  • This is a fully remote position.
